Documents, approval & acceptance

STYD prepares documents for you and publishes them into the portal. Depending on the document, you can review it, approve it, or accept it directly in the portal.

How documents arrive

STYD writes and publishes each document for you. You do not upload or create documents yourself. When a document is published, it appears in your Documents list under the project it belongs to.

Only published documents are visible to you. Drafts and archived documents are never shown in the portal.

Reviewing a document

Open a document to read it in the portal. Each document shows a few helpful details so you always know which version you are looking at:

  • its title and type
  • its status (published, approved or accepted)
  • its version number
  • the date it was published and last updated

Document content is shown safely as formatted text. For your security, documents are read inside the portal rather than downloaded.

Approving and accepting

Some documents ask for a decision. The portal shows the right action for the document type:

Proposals and scopes
Reviewed and approved in the portal.
Quotes
Reviewed and accepted in the portal.
Reports and evidence
Audit reports, findings, care reports and technical evidence are read-only.
Company-level
Any active member can approve or accept on behalf of the company.
Approving or accepting always includes a confirmation step, so it can never happen by accident. Once a document is approved or accepted, the portal shows that status and the date it happened.

Email notification on first publish

When a document is published for the first time, STYD can email the active members of your company a link to open it in the portal. For security, the email links to the portal and does not attach the document itself.

What the portal does not do yet

Documents are read in the portal. There is currently no client file upload, no file attachments, no PDF download and no electronic signature. Approving or accepting in the portal is the way to record your decision.
